Preconvention Planning
The success of your meeting depends largely on its early groundwork. Our convention sales and servicing division will assist you in finalizing details of your meeting. We can help with contacts for lodging accommodations and meeting facilities. Sales and servicing also are prepared to send out leads on your meeting and to host site inspections. We will make suggestions about committees you will need and what their functions should be. We can help you plan entertainment, such as a variety of theme parties at area attractions. Together we will thoroughly evaluate the plans for your meeting.

Registration Assistance
Convention services will help you determine how much registration assistance you will need. For every set of 100-room nights your group picks up, the bureau will provide, at no charge, one registration person on-site for four consecutive hours. Additional registration assistance can be arranged at a reasonable rate. Requests for registration assistance should be made at least one month before your meeting begins. The bureau equips registration personnel with computers for use in making on-site delegate badges. Registration personnel are not bonded. Accordingly, they will not handle any financial transactions.
Plastic Bags & Pin-on Name Badges

Official Birmingham Convention and Visitors Bureau name badge inserts with 4" x 3" plastic pin-back holders are available to you at a nominal cost.
Plastic bags imprinted with the "Birmingham" logo are available at a very reasonable cost to convention groups. The bags are popular items for packaging pre-registration materials.
Brochures
The bureau has a complete line-up of brochures on Birmingham attractions, lodging, dining and entertainment. We will also provide your group with a calendar of events publication so they are aware of concerts, shows and local events.

Publicity

The bureau's communications division can offer valuable suggestions for media coverage of your meeting. We will provide a list of local media for sending news releases and other information. A news release worksheet is available to help you organize your information. Additional publicity is provided through a list of scheduled conventions which is released to area media monthly.
Guest Activities & Tours
Your accompanying guests will find plenty of entertainment while you attend meetings. Convention services can help you plan a multitude of activities and visits to attractions. Your delegates may want to explore the city through tours custom-designes to fit their interests. Ask for copies of the attractions map and Birmingham Passport, our guides especially for visitors.

Promotional Materials

DVD: The Greater Birmingham Convention and Visitors Bureau offers a DVD for use by meeting planners for bid presentations and attendance building. The film is a comprehensive overview of Birmingham, including entertainment, attractions, meeting facilities, festivals and more.
